Rules

This is a courtesy machine translation. The official rules are the Portuguese version, which prevails in case of any discrepancy.

The 12th JIEPE accepts three types of submission, each with its own rules: the abstract of a piece of work, a proposal for an educational activity, and the registration of a performance in the Talent Show. Only the abstract requires a link to UFTM, and the link belongs to the work: it must come from a university project or program.

The deadlines for all three are in Key dates.

The three types of submission

Abstract Requires a link to UFTM

Reports work from a UFTM project or program in teaching, research, extension or inclusion. Once approved, it is presented as a poster at the event and published in the proceedings. Abstract rules.

Educational activity No link required

Workshop, short course, conversation circle or a similar format. Whoever proposes it leads it, and the criterion is having training or experience in the subject. Activity rules.

Talent Show No link required

An artistic performance, solo or group, in Uberaba or in Iturama. Open to anyone who studies, works or has studied at UFTM, and to people from outside the university. Show rules.

Only the abstract goes into the proceedings. The educational activity and the Talent Show performance are part of the event program and earn a certificate, but are not published.

Taking part without submitting anything

Registering as an attendee and signing up for educational activities also require no link to UFTM: they are free and open to the whole community, through Hub JIEPE (in Portuguese). The only restricted form of participation is working as an event student assistant (monitoria do evento), which is open to students only.

Who can and who must submit an abstract

Who can submit

The abstract must report work carried out in a UFTM project or program, in one of the four areas below. Without this link the abstract is not accepted. Anyone who takes part in the work can submit: undergraduate and graduate students, faculty and administrative staff.

  • The link is required of the work, not of each author. Co-authors from outside the university are accepted.
  • Graduates can still submit work done here when the call for their project makes presentation mandatory at JIEPE. The list is in who is required to present, below.

Educational activities and the Talent Show follow other rules, which do not require a link to the university. See proposing an educational activity and signing up for the Talent Show.

What can be submitted

Each piece of work belongs to one of four areas, and the area defines what is accepted. The acronym next to each name is the vice-rectorate responsible for the area, which is who to contact if you have questions:

Research PROPPG

Completed undergraduate research (Iniciação Científica, funded or under UFTM's rolling registration) and graduate work, either lato sensu (specialization) or stricto sensu (master's and doctorate), as well as postdoctoral fellowships, carried out at UFTM, with partial or final results. This includes the Projeto Integrado à Pesquisa (PIP).

Teaching PROENS

Teaching Assistantship Program (Programa de Monitoria), Tutorial Education Programs (PET), Education through Work for Health Program (PET-Saúde), AfirmaSUS, Institutional Teaching Initiation Scholarship Program (PIBID) and teaching projects, under rolling registration or with a scholarship, carried out at UFTM or outside it. Experience reports from the internship course are also accepted.

Extension PROEXT

A project or program (PIBEX, Cefores, Centro Cultural, Complexo de Peirópolis or rolling registration), or another university extension (community engagement) activity awarded funding from outside UFTM. Work still in progress is accepted. See does the work need to be finished?.

Inclusion PROACE

Two student-support categories that assist students with specific educational needs: Inclusive Peer Tutoring (Monitoria Inclusiva) and Inclusive Tutoring (Tutoria Inclusiva). Only those on the list of peer tutors or tutors sent by PROACE may submit.

What is not accepted

  • Undergraduate final projects (TCC).
  • Projects yet to be carried out, or under way with undefined results and conclusions, including abstracts stating “results will be presented”. Exception: in extension, work in progress is accepted. See does the work need to be finished?.
  • Classroom experience reports.
  • Undergraduate research with a title different from the one registered in the current call.
  • Work already presented at another event, or written in any language other than Portuguese.

Who is required to present

If your project is in any of the calls below, presenting at the 12th JIEPE is not optional.

  • Projects and programs awarded an extension scholarship under Call (Edital) PROEXT/CEFORES 02/2026.
  • Scholarship holders selected in Centro Cultural Selection Process No. 01/2026.
  • Scholarship holders selected in Vice-Rectorate for Extension, Culture and Sport Selection Process No. 02/2026.
  • Scholarship holders selected in Complexo Cultural e Científico de Peirópolis Selection Process No. 47/2026.
  • Any type of extension activity registered in PROEXT's rolling registration (Fluxo Contínuo) by April 2026, provided it was awarded funding by a body outside UFTM that requires results to be presented at an official event.

Who signs the work

Each piece of work has a corresponding author — the person who submits it — and up to 6 co-authors, for a total of 7 authors per work. The supervisor takes one of these seven places: they sign as a co-author, not in a separate field.

Corresponding author is a role, not a position in the list: it is this person's e-mail that the Committee writes to, and they send the corrections, book the presentation slot and answer for the work. They can appear anywhere in the author list.

Author order matters: it is what appears in the proceedings and on the certificates. The corresponding author sets it when submitting, starting with the first author of the work — who may not be themselves. The supervisor always goes last, even when they are the one submitting.

Does the work need to be finished?

It depends on the area. This is the most common question about the rules.

In research, yes PROPPG

Undergraduate research may only present completed work, and graduate work must have results already obtained, even if partial. Abstracts announcing “results will be presented” are not accepted.

In extension, no PROEXT

Work still in progress is accepted. The reason: the specific extension calls run until December, but require presentation at this year's JIEPE. In other words, the project is presented before it ends, and that is not an obstacle. The abstract reports what has been done and the results achieved so far.

In the other areas the general rule in section 2 applies: work with undefined results and conclusions is not accepted.

Where to submit

Submissions are made on Hub JIEPE, the event system (in Portuguese), online since September 7. It is no longer on UFTMNet, the integrated system used up to the previous edition.

The Hub is responsive: it works the same on a computer and on a phone, so you can submit, follow the committee's response and book your presentation slot wherever you are. The form takes you field by field, in the order in which decisions need to be made, so that first-time submitters don't need to keep these rules open alongside it.

How to write the abstract

From this section up to the poster evaluation, everything is about the abstract. Those proposing an educational activity follow proposing an educational activity, and Talent Show performers, signing up for the Talent Show.

The abstract is structured: on Hub JIEPE each part has its own field, and all of them are mandatory. Don't repeat the name of the part inside the field; the form already labels it. The field names below are followed by the Portuguese label you will see on the Hub.

What counts is the total: together, the fields from Introduction to Conclusion must have between 300 and 500 words. Title and keywords are not counted. The sizes shown are suggestions for distributing the space, not field limits.

  1. Introduction (Introdução) Current state of knowledge, the main problem addressed and its relevance. ~100 words
  2. Objective (Objetivo) A clear statement of what the work sets out to do. ~40
  3. Method (Método) How the work was done: study design, who or what was studied, and how the data were collected and analyzed. ~100
  4. Results and Discussion (Resultados e Discussão) The main findings and what they mean in light of what was already known. ~180
  5. Conclusion (Conclusão) What is concluded, answering the objective stated at the start. ~60
  6. Keywords (Palavras-chave) 3 to 5. not counted

Do not include in the body of the abstract

  • Abbreviations you created yourself. Acronyms already established in your field may stay.
  • Citation markers, such as «[1]» or superscript numbers. The abstract has no reference list, so the number points nowhere.
  • Anything that identifies people, institutions other than UFTM, or authors, including initials. This is grounds for disqualification.

The text you submit is what appears in the proceedings. The Scientific Committee checks whether the abstract meets the rules above; proofreading — Portuguese usage, typos and grammar — is up to you. It is worth asking your supervisor or a colleague to read it before you finalize.

What happens after you submit

Each abstract is reviewed by the Scientific Committee as soon as it arrives. The check does not wait for the deadline. In practice, those who submit early get an early answer and have more time to make corrections.

This review is a compliance check, not a peer review. The committee checks two things: whether the abstract meets these rules, and whether the work is within the scope of JIEPE, that is, whether it comes from UFTM and fits one of the four areas. It does not judge the quality of the research or edit your text: when something is not in order, it sends it back for you to correct. The merit of the work is judged at the event, beside the poster, by a reviewer.

  1. Approved without changes

    Nothing to do. The work moves on to scheduling.

  2. Approved with changes

    You receive the correction request and send the corrected version within the deadline. Only one corrected version is accepted, and corrections must be made with the supervisor's knowledge. Uncorrected work is not accepted for presentation.

  3. Not accepted

    This happens when the work falls under any of the situations in what is not accepted, in section 2.

Check the final deadline for corrections in Key dates. After it, no abstract can be changed.

Publication in the proceedings

Every approved abstract is published in the JIEPE Proceedings (ISSN 2526-1983), on the event website, and becomes part of the archive, citable like any scientific publication. In this edition the proceedings are released during the event itself.

What is published is the text you submitted, unrevised, with the authors in the order set at submission. That is why proofreading and author order must be right before you submit: after publication, none of this changes.

What is written in the proceedings belongs to its authors: publication does not mean that the JIEPE organizers or the UFTM administration agree with what the work states.

Only the abstract is published. Educational activity proposals and Talent Show performances are not included in the proceedings.

How to present at the event

The work is displayed as a poster, and you don't just put it up: you present it, talking beside it, to passers-by and to the reviewer who evaluates the work right there.

The presentation is in person, on the campus of your program. Students from a program in Uberaba present in Uberaba, at Univerdecidade, and students from a program in Iturama present in Iturama.

Time, evaluation and attendance

On both campuses, your presentation must fit within 15 minutes, and a reviewer follows and evaluates it.

Presenting does not end your participation. The students responsible for the presentation must stay by the poster for the whole display period, to answer other participants' questions, and the supervisor must be present.

On each campus

In Uberaba, the poster is digital, shown on a TV screen, and stays on display for 30 minutes, which is how long you stay on site. The talk is still limited to 15.

In Iturama, the poster is printed and all works are presented on November 11, in two sessions: 2 to 5 p.m. and 7 to 9 p.m., in the campus cafeteria courtyard. Attendance applies to the whole session: those who choose the 2 p.m. session stay until 5 p.m., and those who choose the 7 p.m. session stay until 9 p.m.

The poster template appears on Hub JIEPE once the work is approved

On Hub JIEPE (in Portuguese) (opens in a new tab), the card for the approved abstract gets the link «como montar o pôster» (how to build the poster), with the template for the campus where you will present. Each campus has its own, and they differ: build your poster from it.

You choose the day and time

Once the abstract is approved, the corresponding author books the presentation day and time on Hub JIEPE, during October 26–30, within the arrangement of sessions by Sustainable Development Goal set by the Organizing Committee.

In other words: sessions are grouped by the goal the works address, and you choose among the days and times available for your work's session. Those who book first have more choice. In Iturama there is a single day, November 11, and the choice is between the afternoon and evening sessions. The program is built from these choices, and so it is only released after the window closes, on October 30.

If you don't book, you don't present

The window is short and does not reopen. After the deadline there is no rescheduling and no exception: without a booked slot, the work is not presented. Book as soon as it opens, on October 26.

Poster evaluation

This is where the work is evaluated. During the presentation, a reviewer evaluates the work beside the poster. This is a different person from the one who checked the abstract, and this is the stage that judges merit.

At the end of the 12th JIEPE, the best works in each area receive a certificate of distinction, bearing the names of all authors.

No appeals

The evaluation result is final. There is no appeal.

Proposing an educational activity

Workshops, short courses, conversation circles and similar formats follow their own rules, and do not require a link to the university. Whoever proposes the activity leads it, and the criterion is having training or experience in the subject.

Who can propose

  • Faculty and administrative staff.
  • Master's and doctoral students, and postdoctoral researchers.
  • UFTM graduates, from any program and any year.
  • People and organizations from outside the university with experience in what they will lead: public-sector professionals, artists, artisans, collectives, associations, companies.
  • Undergraduate students and students in Cefores technical courses, with supervision from someone in the groups above, who takes on the proposal with them.

The supervision requirement applies to any undergraduate student, whether from UFTM or from another university.

An invitation to UFTM graduates

The university is very keen to welcome its graduates to lead workshops, short courses and conversation circles.

This return strengthens the bond between the institution and the people it educated. Graduates bring the experience built after graduation — in their profession, in public service, in schools or in their own business — and make it available to those still in training. UFTM, in turn, keeps alive a relationship that does not end at graduation.

What the organizers provide

You describe the activity on Hub JIEPE and request there what it needs, such as a room and a projector. Consumables, such as paper and pens, are provided by the organizers.

Steps of the proposal

  1. September 7 to October 16 You send the proposal through Hub JIEPE, with the same deadline as abstracts. You propose the duration, according to what the activity requires. The form also asks which Sustainable Development Goals the activity addresses, based on what it leaves with participants rather than on the proposer's research topic.
  2. October 20 Results are released, announcing the selected proposals.
  3. October 30 The activity enters the event's final program.
  4. November 3–9 The public signs up for your activity. Registration is free and open to the whole community, with limited places.
  5. November 9–12 You lead the activity during the 12th JIEPE and receive the activity leader's certificate, on Hub JIEPE.

Educational activity proposals are not published in the proceedings, which include abstracts only.

Signing up for the Talent Show

The Talent Show is the cultural highlight of the 12th JIEPE program, in Uberaba and in Iturama. It welcomes solo and group performances, and registration is done on Hub JIEPE (in Portuguese).

Who can sign up

Anyone, with or without a link to UFTM: undergraduate and graduate students, graduates, faculty, administrative staff, contract workers, interns, visitors and the wider community. Hub sign-in accepts a personal Google account, not only an institutional one.

What can be performed

Music, dance, theatre, poetry, comedy, circus or another art form, which you name when registering. Each act is a separate registration: someone who sings and also dances registers both. For group acts, the person registering provides the name and e-mail of each member, which is how each member's certificate is delivered.

Places, time and stage on each campus

Uberaba 8 places · up to 10 minutes each

The venue will be announced with the program. The Show lasts about 1 hour and 30 minutes. The organizers provide on stage:

  • dynamic microphones
  • cables with XLR and 1/4" (P10) connectors
  • mixing desk
  • power strip
  • powered speakers
  • music stands
Iturama 6 places · up to 15 minutes each

Venue: campus cafeteria. The Show lasts about 2 hours and 30 minutes. The organizers provide on stage:

  • wired and wireless dynamic microphones
  • power strip
  • powered speaker

Places and time apply in principle: the maximum length of each performance may vary depending on the campus and the number of registrations received. Performers bring their own material: the instrument, for music; set pieces, for the performing arts. What the act needs on stage (microphones, audio, power outlet, space) and any accessibility needs are described in the registration.

How performances are selected

If there are more registrations than places, two criteria decide. Order of registration: those who register first have priority, and the Hub shows how many registrations each campus has received. Cultural and artistic diversity: the organizing committee seeks to include different art forms, which is why the registration asks for a brief description of what will be performed.

What you agree to when you sign up

  • Being at the venue at least thirty minutes before your performance, with the necessary material.
  • Authorizing the use of your image: the Show is photographed and filmed, and the footage may appear on JIEPE and UFTM channels. For group acts, the person registering confirms that the other members also give their authorization.

Steps of the registration

  1. September 21 to October 23 You register through Hub JIEPE. While registration is open, you can edit or cancel each act right there.
  2. October 30 The Show program is released: the selected performances, with date, time and venue.
  3. November 9–12 You perform during the 12th JIEPE and receive the certificate on Hub JIEPE.

The Talent Show performance is not published in the proceedings, which include abstracts only.

Certificates

Certificates are issued in your name and made available on Hub JIEPE, during the event itself:

  • Abstract: certificate of presentation, for all authors, in the order in which the work was submitted.
  • Educational activity: activity leader's certificate, for the proposer, and participation certificate, for those who signed up and attended.
  • Talent Show: performance certificate, for the person who registered and for each member listed in the registration.
  • Attendee: certificate for the activities where your attendance was recorded.

Certificates depend on recorded attendance

Attendance at each activity (talk, educational activity or poster session) is recorded on Hub JIEPE, during the activity itself. Those who don't record it will not receive the corresponding certificate, and it cannot be recorded afterwards.
